How do I receive a price quote for a Hancock Cottage?
Go to any property page on the Hancock Cottages website and click "check rates and availability." Enter your arrival and departure dates. Select the "book now" button. The price will show up under the check in and check out dates. There may be higher rates during the festival season than advertised on ad websites. You can see the individual price breakdowns for taxes and fees and click "continue" if you would like to book.

How do I book a property?
Follow the steps above.  After clicking "continue," fill out the reservation request form with your information. You will then be directed to a payment page, once payment is complete and the rental agreement has been agreed to, your reservation will be secured!

What is your minimum stay requirement?
We have a 3 night minimum. If a rental is taken for less than 3 nights, the guest will be charged the 3-night rate.  Longer minimum stays, usually 5 nights, are generally required during holiday periods or for special events: SXSW, ACL, F1 racing, UT graduation, XMAS, Thanksgiving, etc.

Is the cleaning service included in the price?
The cleaning service is a required one time fee additional to that of the nightly rate. It covers the cost of cleaning when you leave.  You can see the price breakdown of all fees on the reservation page of our website.  You may pay for additional cleanings if you like.

Is the 15% occupancy tax included in the price?
The 15% occupancy tax (9% to the City of Austin and 6% to the State of Texas) is a required fee additional to that of the nightly rate. You can see the price breakdown of all fees on the reservation page of our website. The occupancy tax is a standard hotel tax in Austin that must be paid on all rentals under 30 days.

Can you help us purchase real estate in Austin?

Do you accept pets?
Generally, we do not accept pets due to our guests with allergies.  For shorter visits we can recommend our professional pet sitter/trainer.  But you ask, "I am re-locating to Austin and will be there for many months."  We may accept a pet on case-by-case basis on a rental greater than a month with a pet fee of $200 to cover the cost of steam cleaning curtains and rugs.  Guests will be responsible for paying any damages caused directly or indirectly by their pets during their stay.

What is the refundable damage deposit?
We do not charge a damage deposit, however, we keep all credit cards on file and will charge your card if there are damages or evidence of smoking in a property. Guests will be responsible for paying any damages caused directly or indirectly by themselves, their pets, or their guests during their stay.

When do I receive the address of the property?
Hancock Guest Cottages will give you the address to the home that you reserve after initial payment is made.

When do I receive check-in information?
You will receive check-in information by email about 2 weeks prior to your arrival date. In the check-in information, we will include address and driving directions, a code to the keypads on our doors, and other helpful information.

What is the payment schedule?
Just like the airlines we require a 100% of the total payment upfront in order to secure your reservation.

When do I receive confirmation of my booking?
Confirmations are sent to you by email automatically when a reservation is made. YOUR RESERVATION IS NOT COMPLETELY CONFIRMED UNTIL 100% OF THE TOTAL PAYMENT IS MADE AND YOU HAVE AGREED TO THE RENTAL AGREEMENT.  If you are staying with us for many months we will work out payments on a month-by-month basis.

What is provided in the Hancock Guest Cottages?
All of our homes are completely stocked including all cookware, linens, and towels. We also provide complimentary WiFi and Cable in all of our homes. Other replenish-able items stocked include, dish soap, hand soap, toilet paper, paper towels, dishwasher detergent, cleaning supplies, shampoo, conditioner, and Austin maps.

Where do I pick up the keys for the home?
You will receive check in information emailed to you 2 weeks prior to arrival with your unique keypad door code.

What is your cancellation policy?
A sixty (60) day notice is required for cancellation. Cancellations that are made less than sixty (60) days prior to the arrival date will incur a penalty of $200. Cancellations or changes that result in a shortened stay, that are made within 60 days of the arrival date, forfeit payment thusly:

Cancellation Notice on Rentals:
60 days prior to the date of arrival: 100%
30 days prior to the date of arrival: 75%
Less than 30 days prior to the date of arrival: 0%

unless the unit can be re-rented. Cancellation or early departure does not warrant any refund of rent.

How do I cancel my reservation?
To cancel your reservation you must contact Hancock Guest Cottages as soon as possible.

What are the check-in and check-out times?
Check-in time is 3:00pm and Check-out time is 10:00 am.  If it you have a same day check-in, and you need an early arrival, you may deposit your bags at a property while it is being cleaned. 

What are the maximum occupancy rules?
Maximum occupancy is clearly stated under each properties web page. The maximum occupancy will also be clearly stated in the rental agreement. If the maximum allowable occupancy is breached, your credit card on file may be charged a penalty, and there may be cause for immediate eviction. In order to comply with the City of Austin code compliance, no more than 6 unrelated people may live in any residence. 

Do you offer parking?
All of our Hancock Cottages have either driveway or on-street parking.  No more than four cars per property please.  Please don't park in front of other homes.

This vacation rental contract is a legal agreement between Hancock Guest Cottages properties (also referred to as the “Homeowners” "Owner" and “Landlord” and “Property Manger”) and you, the Renters (also referred to as “Tenants” and “Guests”). This contract is entered into agreement as of the date when the Renters place their reservation online and the reservation is screened and accepted by the Homeowner. The Homeowner will notify the Renters by email or written mail when their reservation is accepted.

1. CHECK-IN TIME IS AFTER 3 P.M. CST   
CHECK-OUT IS 10 A.M. CST

A late check-out is subject to extra rental charges.
There are no refunds for early departure.

2. All properties require a 3 night minimum stay.  Longer minimum stays, usually 5 nights, are generally required during holiday periods or for special events: SXSW, ACL, F1 racing, UT graduation, XMAS, Thanksgiving, etc. If a rental is taken for less than 3 nights, the guest will be charged the 3-night rate.

3. NO DAILY MAID SERVICE - Rates include a one-time linen-towel setup and cleaning the day the tenant leaves.  While linens and bath towels are included in the house, daily maid service is not included in the rental rate, however, additional cleanings are available at an additional rate.

4. This is a NON SMOKING unit. A $500 penalty fee will be charged to your credit card if we find evidence of smoking inside the property.

5. PETS are not permitted in rental units. A $500 penalty fee will be charged to your credit card if we find evidence of pets at the property. Should you need to bring your pet we suggest you use our professional pet trainer Kristian Stanley at fabjazz1@yahoo.com.  He charges $20 a day to watch dogs in his kennel plus $10 for each additional dog.

6. The Renter must be 25 years of age to book this rental property.

7. Tenant will leave the premises in good and habitable condition. Leave it as you found it. Guests will be responsible for paying any damages caused directly or indirectly by themselves or their guests during their stay.  We will charge your credit card for any damaged or missing items. Landlord or his/her agent will submit to Tenant an itemized list of any lawful deductions and any damages that have been caused by the Tenant within fourteen (14) days after the termination of the tenancy.

8. Tenant shall behave in a civilized manner and shall be good neighbors respecting the rights of the surrounding property owners. The Tenants shall not create noise or disturbances likely to disturb or annoy the surrounding property owners. Creating a disturbance of the above nature may be grounds for immediate termination of this agreement and Tenants shall be evicted and then immediately vacate the premises. Quiet hour starts at 10 PM.  Tenants will not park in front of other homes.

9. House Activities – No candles are to be used at any property at any time. No parties/showers/gatherings are allowed without consent from the owner.

10. Tenant agrees to use and occupy the leased property at Tenant’s own risk and hereby indemnifies Owner/Operator from all claims from any injury or death of any person or for the loss of or damages to any property of Tenant or Tenant’s agent, guests, or other third parties.

11. Owner reserves the right to refuse service to anyone.  Owner will not be responsible for accidents or injury to guests or for loss of their money, jewelry or valuables of any kind.

12. CAUTION – Step down/up is required at some properties.

13. MAXIMUM OCCUPANCY - The maximum number of guests is limited to eight (8) persons in houses and two (2) persons in studio apartments. An additional charge or $25.00 per person per night for extra guests will be assessed. In order to comply with the City of Austin Code Compliance, no more than 6 unrelated people may live in any residence.

14. Owner reserves the right to terminate a reservation at any point. Tenant will not create a nuisance or excessive noise that interferes with the peace and quiet of the neighborhood.

15. Tenant understands that owner has made every effort to accurately describe the premises via pictures and descriptions. If the property does not meet Tenant's expectations, but does meet the basic standards of habitability under Texas law, Tenant will not be entitled to a refund of rent money and will have no claim or recourse against the owner.

16. FALSIFIED RESERVATIONS - Any reservation obtained under false pretense will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will not be permitted to check-in.

17. WRITTEN EXCEPTIONS - Any exceptions to the above mentioned policies must be approved in writing in advance.

18. HOLD HARMLESS - The Tenants and Tenants' Guests shall hereby indemnify and hold harmless the Landlord/owner against any and all claims of personal injury or property damage or loss arising from use of the premises regardless of the nature of the accident, injury or loss. Tenants expressly recognize that any insurance for property damage or loss which the Landlord/owner may maintain on the property does not cover the personal property of Tenants, and that Tenants should purchase their own insurance for Tenants and Guests if such coverage is desired.

19.  This property is privately owned; the owners of the property (“Owners”) are not responsible for any accidents, injuries or illness that occurs while on the rental premises or its facilities.  The Owners are not responsible for the loss of personal belongings or valuables of the guest.  By accepting this reservation, you agree to release Owners (and all of their partners, employees, officers, agents, representatives), and agree to indemnify them against, and hold them harmless from and against, any and all injuries, liability, claims, demands, causes of action, costs (including attorneys' fees), to or by you, or to any other person you bring onto the rental premises or to any third person, that arise from, with respect to, are in any way related to or in connection with, directly or indirectly, your presence, rental, occupation or use of the property premises; whether or not caused, in whole or in part, due to the sole, joint or concurrent negligence or gross negligence of the owners.

20. Trash and recycling pick-up is on Thursdays.  Please pull the cans out to the curb on Wednesday evening.  Thank you so much for helping!

Reservation Cancellations

A $200 cancellation fee will be charged for canceled reservations. Advance payments less the cancellation fee are refunded according to the following schedule:

Cancellation Notice on Rentals:
60 days prior to the date of arrival: 100%
30 days prior to the date of arrival: 75%
Less than 30 days prior to the date of arrival: 0%
